They need someone who has recently retired to do observations.  Please do an end of the year report for mentors! Doesn’t have to be much!  Chris would like to pass this position on in a year. AEI Summer Board Meeting

Garwin Social Center

Friday, July 17 2009

Members in attendance: Nancy Sojka, Joel Franken, Chris Noel, Carol Webb, Ronda Sternhagen, Pam Muench, Jean Caboth, Kthleen Almelien, Becky Kobos, Maggie Parks, Nancy Barsic, Ken Esveld, Cappie Dobyns, Lucy McLennan, Barbara Caldwell, Paul Adamson, Tammy Hoppe.

Executive Board Reports

President            Maggie Parks

President Parks would like to have the information formally contained in the white notebooks become available on the web page. Would also recommend that the membership listing be available on the website to members only (password protected).

The Winter Board meeting will be held on Saturday, January 30, at the State Historical Building in Des Moines. This is when the YAM entries are due. February 6 is reserved as a snow date. The Spring Board Meeting is scheduled for April 24 with the meeting location to be announced later.

Chris Noel moved that the elections of Secretary and Treasury be held late this year with a deadline of September 15, 2009, and have Kassi Nelson's name on the ballot in place of Amy Pfeiler-Wunder's name because Amy is moving out of state. Kathleen Almelien seconded. Motion passed.

President Parks asked the board to consider a format for meetings where each board member submits their report. Joel Franken made a motion that committees send reports to the secretary 2 weekends before the board meeting on a template created by the secretary with reminders sent to the board. Kathleen Almelien seconded. Motion passed. The secretary will pass these reports along to the board members for review. At the board meeting the reports should be re-caped with a 3-5 minute discussion of the highlights. This would allow more time for work to be completed during the meetings.

President Parks asked the board to consider having every Officer, Committee Chair and Division Representative of the board fill out an annual report to the board. The annual report would be a summary of the calendar year's activities and be due on December 31. A form will be developed for submission.

In an effort to produce a clean, strong, consistent image of the NAEA, Director Diane Reeve has had a logo designed and placed prominently on everything the NAEA publishes. President Parks would like to see AEI do the same, and has asked President-Elect Ronda Sternhagen reformat our current logo. President Parks requests that this logo be present consistently on AEI materials, and therefor would like it to be available to the board through the web page. President Parks also asks board members to consider using the logo when making their business cards.

The IMEA will be forming a committee to develop guidelines on how Music can teach the 21st Century skills. It would behoove AEI to do the same.

At the Western Region Leadership Forum it was learned that NAEA is making a push to double membership in 4 years. Nationals are increasing the benefits of membership to make it easier to recruit new members. President Parks requests that every board member talk to non-members in their area about joining. Personal invitations have the largest chance of bringing new members on board. Parks is certain that AEI can reach a membership level of 400 within 4 years.

To assist in the drive to increase membership, President Parks suggested that a postcard touting AEI's  benefits be developed and sent to every art teacher in Iowa.

To promote the AEI sense of community, President Parks suggested that AEI have shirts printed or embroidered with the newer version of the logo and offered for sale to members. Samples could be made up and orders placed. This could also be done through our website. Parks also requested that the NAEA's newly developed bookmarks that advocate the benefits of art education be purchased to be passed out at the School Administrators of Iowa conference.

President Parks encourages all board members to take advantage of the e-Portfolio offered as a benefit of belonging to the NAEA, then share their e-Portfolio with non-members to entice them to join. The e-Portfolio is very easy to set up, and both a "quick start guide" and a "help guide" are available at http://www.arteducators.org/community.

Artsonia and NAEA are now partners, and Iowa can sign on as an Artsonia State. This would allow AEI members to submit photos of student work to the YAM competition through Artsonia. Teachers would then be able to mat just the accepted works and turn them in for hanging.

President Parks reported that the Executive Board has decided to pass on CVent at this time, but is in support of pursuing Paypal as an option for paying online for conference registration.

President Parks is appointing Mike Burgher to the board in the new position of "digital editor." The duties of this position are being worked on and will be submitted for approval in October. Mike will work with Nancy to continue adding multimedia options for the membership.

In order to fulfill new federal guidelines for not-for-profitt organizations, AEI needs to adopt a Whistleblower Policy, a Conflict of Interest Policy Review Policy. Lucy McLennan made the motion that AEI adopt the Whistleblower Policy and Conflict of Interest Policy Review as presented. Jean Cabboth seconded. Motion passed.

At the Western Region Leadership Forum it was suggested that to be more fiscally responsible we should limit the Treasurer's ability to pay any reimbursement requests that go over the line item budget amount until receiving board approval. It was also suggested that anyone handling money for AEI be Bonded. President Parks is working on bonding 5 board members. Nancy Sojka made a motion that the Executive Board continue to check into bonding and to make a decision based on our budget. Tammy Hoppe seconded. Motion passed. Additionally, the Executive Board suggests that all receipts and bills for items purchased before May 31 be submitted to the Treasurer for reimbursement by June 30 to allow the Treasurer to close the books for the fiscal year.

President-Elect            Ronda Sternhagen
AEA reports were presented as received to date. It was also discussed that since AEI is fortunate enough to have a number of co-reps for several areas, it is often difficult to determine and meet quorum for meetings, therefore the Executive Board has decided to count each committee, etc. as one position on the board in determining quorum. All co-reps are always welcome, and encouraged, to attend meetings.

President’s Report
A brief discussion was held concerning the date of the upcoming summer board meeting. It was decided to tentatively move the meeting to July 17, if President Parks is able to secure the meeting facility.

Cvent is interested in presenting to the board the availability of their services for handling registration materials, including credit card payment options, etc. for future conferences. The company has been in business since 1991. After discussion, an invitation will be extended to the company to present information.

Janiece Kinzle and Sandra Wentworth are resigning their elementary representative board positions. Liz Lyons will be filling in that position, and is also willing to continue working as the AEA13 representative as well.

Regina Smith intends to resign her position on the board, as per Dave Pratt’s conversation with her a while ago.

Western Region is coming up June 25-28. Maggie Parks , Amy Pfeiler-Wunder, Lucy McLennan, and possibly Carol Webb will be attending this year. There is $600 budgeted for board members to attend. We would like to send several members. Maggie Parks suggested Kassi Nelson and Nancy Sojka be asked to attend.

Delegate assembly at the National Art Education Association continued to work on the platform definition of students, art teachers and art education.

A resolution brought before the board was the issue of mascots. NAEA is wanted to take a stand against any race-based mascots, specifically Native Americans. Additional work needs to be done to address tasteful versus disrespectful uses. Diane Franken suggested that it be brought to the Native American council to get input.

Susan Noonan has created a “Thank You” for the vendors at the NAEA convention for all who attended to sign. She will make copies and send to the vendors.

Cappie Dobyns brought to the attention of the board that there is information on the NAEA website where you can request free materials, while supplies last.

President-Elect’s Report
President-Elect Ronda Sternhagen handed out a report from the AEA representatives of things that have been going on across the state. It was requested that this template be put on the AEI website so representatives could keep it up-to-date. Ronda will work with Nancy Sojka to make this happen.

Susan Noonan had a question about the YAM line item. Some clarification was given by members present.

Kathleen Almelien made the motion to approve the report, Laurie Olk seconded, motion passed.

Membership Report
We currently have 228 members! Debby Yellick-Manly is no longer the old AEA6 representative. Pam Muench will be keeping tabs on activities in that area.

Peggy Leonardo will be speaking at the All-State awards reception May 2, 2:00 p.m., at the Rasmussen Center, concerning the All-State art camp June 8-12, no one has signed up for the camp at this point. This year was a near record year with 57 portfolios entered. Dropping the GPA has not affected the overall GPA of the All-State team. The last two years GPAs have been 3.86 for 2008, 3.51 for 2009. Debby Yellick-Manly created a beautiful booklet for the All-State program. Curt Nelson (Panorama) is a ten-year member of the All-State team.

Iowa Hall of Pride display data collection continues. Dave has been working to solicit funds to support the project. Times are tough, but Dave is being persistent in making presentations to corporations for support.

Promotions
Debby Yellick-Manly reported that a team made pins for give-aways for the NAEA convention. They were very well received and appreciated by convention attendees.

Issues and Directions
Joel Franken reported on two major concerns…Certified art teachers in the elementary classroom and a fine art requirement for high school graduation.
We need to get together with other forces to make things happen. We need to form alliances with other groups such as the ISEA (Brad Hudson), PTA, local legislators, and IAAE.

There will be a strategic planning workshop on July 14 at a site to be determined to get the ball rolling.

The four areas of our current strategic plan include: advocacy, leadership, communication, and involvement. Joel asked for all in attendance to look at the current plan and to see if they see themselves in one of these areas. Susan Noonan suggested that we invite some of our mentees to be involved. This will give us a set of fresh eyes on the direction of our organization.

Iowa Arts Council Report
Dawn Martinez-Oropeza reported about the Creative Classrooms arts integration program with the Gallagher-Bluedorn (UNI – Cedar Falls) partnered with the Kennedy Center. There is a plan for similar training being planned in the Des Moines area. Schools can apply for a week-long residency through the council for a $250 expense to the school. Big Yellow School Bus and Easy 1-2-3 grants start July 1. Please continue to watch Dawn’s e-mails for pertinent information.

Pat Grubb reported about Very Special Arts (VSA) Iowa classes going on this summer. They need people to teach the classes this summer. You need an MA to teach at the AEAs. This year’s theme is “Soar with the Arts” with an science and air theme. These classes are available for graduate credit. There will be a component concerning ADHD, and adapting lesson delivery for students with special needs.

Mentorship Report
We have about 18 official mentor-mentee teams this year! Laurie Olk reported that the mentorship grant expires this year, but IAAE has applied to renew the program with some changes.

Historian Report
Susan Noonan reported that she took many photographs of the NAEA convention. She will be getting those on the Kodak website. There are still YAM discs available. Contact Susan if interested.

IAAE Report
Diane Franken gave thanks to Nancy Sojka and Maggie Parks for their representation for the administrator’s presentation. The Alliance has ad hoc committees in place, more information will be coming out as work progresses. Diane met with the Lieutenant Governor (Patty Judge). Judge indicated that she wanted to make arts education a focus for her term. They will continue to meet to make some activities available this summer. Judge also plans to make an official proclamation to kick-off Youth Art Month next year. Diane and Ronda reported on the meeting held with the Regents representatives and the long road ahead to convince the Regents that the requirements are hurting high school students that want to explore a fine arts career path.

Dawn Martinez-Oropeza indicated that Rosanne Malek from the Department of Education is interested in forming a K-16 task force, but it needs to be initiated through our organization.

Iowa Choral Directors have prepared a document that will go out to all superintendents in Iowa that indicates what types of course work high school students need to take to be prepared to be successful in college music programs. Perhaps our group would like to formulate something similar.

Laurie Olk reported on the Iowa Core Curriculum (corecurriculum.iowa.gov).

Ken Esveld handed out membership forms for the Alliance.

YAM Report
Tentatively March 6, 2010, is the date for next year’s Youth Art Month, with a snow date the following week. Susan clarified that funds allocated to YAM do not roll-over to next year’s event, but was encouraged to make a special request to the Executive Board concerning budgeted amount for YAM.

Traveling Exhibits Report

It is highly recommended, and funding is available for teachers in Southwest Iowa, however others are encouraged to also attend.

Middle Level Report
Cappie Dobyns reported on her continued desire to implement a middle level arts competition. She is hoping to find people interested in participating in a jurors training session on a Saturday in the Ames area.

Cappie has added some middle level lessons on the AEI website.

Cappie is concerned about the low participation for middle level works at the Youth Art Month (and Scholastic) competitions. She is going to work on ways to improve that involvement.

Secondary Level Report
Kassi Nelson shared helpful art websites and information about copyright that she gained at the NAEA convention.

Area Representatives Report

President’s Report:

IAAE is going to survey the needs of its membership to help determine the actions the organization should take. The biggest goal will be professional development for Iowa Arts Educators.  They will be asking questions about the present condition of your district and individual needs both in the short and long term.

Other organizations are assisting the completion of the survey by offering free registration to their association’s conference to the first of their members to complete the survey.

Iowa Model Core:

In November the leadership of IAAE and the leadership of the Arts Organization met with Kevin Fangman, PK-12 Administrator of the Iowa Department of Education.  We collectively voiced our concern that the arts are not more assertively and pointedly mentioned in the information surrounding its development.  Mr. Fangman assured us that the Iowa Model Core is still in the early stages of development.  It is due to be implemented in high schools by 2012 and elementary and middle school schools by 2014. The model is to skill based, not subject based.  Mr. Fangman is taking our concerns about the need for a more visible role for the arts to Judy Jeffrey, the head of DEO.

Advocacy Note:  Code 256 discusses music education as being fulfilled by choir and band, which is not the intention of the code.  Be aware of this if happening in your district and speak with Rosann.

President Elect, Rhonda Sternhagen:  A curriculum had been created by the Iowa Arts Council which focuses on Iowa Artists.

Rhonda provided an AEA Representative Newsletter, which provided information collected from AEA representatives about projects that are happening in their areas related to the arts.

Introduced co-presidents of the UNI student chapter of art educators of Iowa:  Anndee Seehusen and Michelle Elis.  There are over 100 art education students at UNI!!

Treasurer, Carol Webb:  Approximately 5,002.93 in checking.  6626.24 in Savings.  30% of the income is received from membership. This is the only source of income.   Approval of budget was tabled until further review of budget handouts.

Membership, Pam Muench:  In December of 2008 the organization included 209 members.   This number is slightly up!! AEA sheets were sent around for corrections.

Web Page, Nancy Sojka:  There is now a face book page for YAM.  Cautions were shared about using facebook and who you included as friends as a teacher.

All State Exhibition, David Pratt:  Items with incorrect spelling were fixed on some of the exhibition material.  Currently, revisions are being mad for the Iowa Hall of Pride Art Education exhibit.  March 6th is the due date for high school art portfolios.  March 14th will be the review date of the portfolios and judging will occur on March 28th.  The reception will be held on May 2nd at Grandview College.

Discussion was brought up concerning going to a two-class system versus a one-class system to include more divisions in order to include smaller schools in the all-state process.  The fact music doesn’t split by class was brought up.  Class divisions in sports were really created to help schools that didn’t have enough players for a team.

Kathleen Amelian proposed going to a two-class system.  Motion seconded by Cappie Dobyns. Motion failed.

 Mentorship Program, Chris Noel

  • A reminder that the Iowa Alliance for the arts helps funds the conference for new mentees.  New teachers also receive one free year in the Iowa Arts Alliance and it is free for them to attend the arts symposiums offered by the alliance.
  • Reminders to new teachers to contact Chris Noel so they can be paired with a mentor.
  • Mentors and Mentees will be receiving a letter from Chris in the next month to see how things are going.
  • Discussion of what it would mean to provide direct funding from the Iowa Arts Alliance to the conference registration so new teachers would not have to pay up front.

Iowa Alliance, Laurie Olk: Discussed the importance of reminding your AEA that art education/curriculum should be an essential element of the core curriculum in the state of Iowa.Rita Martin from the Department of Education is working with individuals in the fine arts to help make this a reality. There is new federal support for innovative curriculum and it is coming to the state. Legislation controls the budget for the core curriculum; keep in contact with the legislation. February 14th is the next alliance meeting.

Nancy Sojka and Diane Franken are attending the Kennedy Center for Arts Alliance Education Network conference in D.C. It is a mentoring program for art program directors.

The Iowa Arts Council is taking part in and identity program to create a new logo for the organization, a workshop on the realities of the 21st classroom, and steps for setting up advocacy groups.

Issues and Directions, Joel Franken: There is a petition asking the president to name a new secretary culture cabinet position. Go to Alliance for arts web page to sign the petition: http://iowaalliance4artsed.blogspot.com/. Shared the Mississippi Palette Project which included a partnership between high school students college students using things found in the Mississippi River and there are lesson plans available which focus on the use of BIG ideas used my Marilyn Stewart.
Rhonda Sternhagen promoted implementing the strategic plan and it would be valuable for the organization to review the strategic plan and write a grant for the organization.
A proposal was put on the table to update the strategic plan and include three principle officers and two individuals outside the organization under the direction of the president and Joel Franken.

Seconded by Cappie Dobyns. Discussion:  Committee outside the board membership would be useful.

(Include in the review that it should be law that there is a certified art teachers in every school, make this a part of the strategic plan.
